Registration of Visitors for Campus Access

To facilitate graduates to bring their family and guests back on campus for attending graduation ceremony and/or taking graduation photos, special arrangements on campus access will be made with details as follow:

PolyU Main Campus

Campus Access Period: 4 October – 14 November 2021

  1. Graduates and their guests shall access the PolyU Main Campus either at the entrance next to Core P (with a footbridge connecting to the MTR Hung Hom Station Exit A1) or the entrance next to Core A (Fountain Square).
  1. Graduates can access the campus by tapping their student ID cards on the card reader at the campus entrance. For those who have lost their student ID card are required to inform the security guard at the campus entrance and to provide their student ID number as well as to show their HKID card for verification.
  1. Graduates shall register their guest(s) through the personalized token links sent from “HKCC and SPEED Graduation” (dated 24 September 2021) to their student email account (xxxxxxxxx@common.cpce-polyu.edu.hk). For graduates completing their studies in Semester One 2020/21, the token links will be sent to their personal email account. Please note:
  • The token link is personalised and unique to each graduate, so it should NOT be shared with others. If a graduate needs the link to be resent after 24 September 2021, he/she should email  SPEEDHKCC.
  • During the access period, each graduate can invite 5 visitors in total (including the guests for attending the graduation ceremony at JCA) to the campus for attending graduation related activities. They can come on the same date or on different dates.
  • All visitor registration should be submitted at least 5 calendar days prior to and excluding the visiting day. For example, if a graduate would like to invite a visitor to come on 4 October (Monday), a registration should be submitted on or before 29 September (Wednesday).
  • Upon completion of the registration, a confirmation email will be sent to the graduate’s student email account (xxxxxxxxx@common.cpce-polyu.edu.hk) or personal email account (for graduates completing their studies in Semester One 2020/21).Graduates should make sure that all the guest information in the email message is correct. If the graduate does not receive a confirmation email, then the registration is unsuccessful. He/she should use the personalised token link to submit a registration again.
  • Each individual visitor will be required to complete a travel and health declaration form before the visit. The online declaration form will be sent to the registered email of the visitor. Graduates should make sure that the email addresses are correct when submitting the application.
  • The travel and health declaration will be sent to the visitor(s) concerned 3 calendar days prior to the visit date. Visitors should read carefully and fill in the health declaration form. A QR code for entering the campus will be sent to the visitor(s) upon completion of the travel and health declaration. The QR code is for single entry to the PolyU Main Campus only. Visitors shall not enter the campus in case the travel and health declaration they made is no longer valid.
  • Graduates who have never completed a travel and health declaration form at the PolyU Main Campus or the declaration is no longer valid will be required to complete a form before entering the campus.
  • There is a daily visitor entry quota set in the system. If the daily visitor entry quota has been exceeded on the proposed visit date(s), graduates shall choose another date in the system for their visitors’ access to the campus.
  • No late registration/ walk-in requests will be entertained.
  1. Graduates can cancel registered visit if necessary. Once registered visit is cancelled, all visitor(s) included in the visit will not be able to access the campus. All cancellation request shall be submitted at least 5 calendar days prior to and excluding the visiting day.
  1. No parking is available on campus. Graduates and guests are suggested to commute by public transport.

 

PolyU Hung Hom Bay and West Kowloon Campuses

Campus Access Period: 4 October – 14 November 2021

  1. Apart from the PolyU Main Campus, graduates with their registered guest(s) can also access the PolyU Hung Hom Bay and West Kowloon campuses for photo-taking on the registered visit date(s). Graduates can tap their student ID card for campus access and guests will be required to show their HKID card for verification when entering the campuses.
  1. No parking is available on campus. Graduates and guests are suggested to commute by public transport.

     

Subject to the prevailing anti-epidemic measures stipulated by the HKSAR Government, graduates and their guests should take note of the following advice:

Before coming to campus:

  • Anyone with fever or respiratory symptoms should not come to the campus. Seek medical attention as soon as possible.
  • For individuals who are subject to the compulsory testing requirement under the Prevention and Control of Disease (Compulsory Testing for Certain Persons) Regulation (Cap 599J), they should not come to the campus until they have tested negative for COVID-19.

While staying on campus:

  • Wear masks at all times except during eating or drinking at designated or catering premises.
  • Maintain a social distance of 1m whenever possible.
  • Observe personal and environmental hygiene.
  • Avoid cross-family gathering.
  • Encouraged to record your campus locations by scanning the venue-specific QR codes with the LeaveHomeSafe Mobile App (link for download).
