Collection of Parchment

Please collect your award parchment in person at the Service Counter of CPCE Academic Registry (CAR Service Counter) in your home campus during the collection period of 14 November – 30 December 2022.  You are strongly encouraged to collect the award parchment on your own in a timely manner as it is an important and valuable document.  CAR will not be responsible for the safe custody of any uncollected parchments after the designated collection period and may destroy them without any further notice at the end of the collection period. No replica nor replacement of your award parchment will be issued.  CAR reserves the right to withhold the issuance (or retract) of an award parchment or any certification of study if a student has unsettled matters with the CAR/CPCE/PolyU or is subject to disciplinary action.

[Applicable to SPEED Graduates ONLY]
It is highly appreciated that you (or your authorized representative) would collect your parchment during the normal service hours from 8:30 am – 6:00 pm as stated above.  However, to facilitate your collection,
our service hours have been extended to 7:45 pm till 2 December 2022*.  Nevertheless, you are strongly advised to follow the Collection Schedule, which was sent to you via email on 1 November 2022.

Before accessing campuses:
  • An “e-Health and Travel History Declaration” from the CPCE Visitor Registration System (CPCE VRS) has been sent to you in a separate email on 9 November 2022.  If you do not receive the said email, please contact us.
  • After completing the “e-Health and Travel History Declaration”, a QR code will be sent to your registered email address for access to the campus.
Upon your arrival at campus:

For public health concerns, the following precautionary measures are implemented until further notice:

  • To wear a mask at any time in public areas or involving people contact within the campus;
  • To conduct compulsory body temperature screening at the entrance checkpoint of the campus;
  • To use the LeaveHomeSafe (LHS) mobile application to scan the venue QR code being displayed at the entrance checkpoints of the campus.
At the time of collection:

You must produce ALL of the following items:

  1. Your Hong Kong Identity (HKID) Card / Passport / Mainland ID Card which should tally with your student record.
  2. The email on award parchment collection (either in hardcopy/softcopy).
Authorised representative:

If you have a genuine need to authorise a person to collect your award parchment, you must ensure that the authorised representative observes the requirements stipulated above.  The authorised representative must produce ALL of the following documents:

  1. A hard copy of the authorisation letter duly signed by you. The letter should state clearly the name and the HKID Card/ Passport / Mainland ID Card number of your own and the authorised person; AND
  2. Photocopy of your HKID Card / Passport / Mainland ID Card, which should tally with your student record (for graduates from Mainland China, Mainland ID is a MUST); AND
  3. The HKID Card of the authorised person; AND
  4. The email on award parchment collection (either in hardcopy/softcopy).
